Job Summary:
The Building Manager is responsible for overseeing the overall operational performance, guest experience, property condition, and financial efficiency of the assigned building or property portfolio.
This role ensures daily operations run smoothly across all departments, while maintaining service standards, occupancy performance, owner satisfaction, and cost control in alignment with company objectives. The Building Manager acts as the key operational leader on-site, coordinating between Operations, Housekeeping, Engineering, Customer Support, and other supporting teams to ensure the property is properly maintained, financially controlled, and operationally optimized.
The position also plays a critical role in monitoring property performance, controlling operational expenses, improving reviews and guest satisfaction, and ensuring the building operates efficiently and profitably.
Key Responsibilities:
1. Operational Management
Oversee day-to-day building operations, including:
- Front Office / Guest Handling
- Housekeeping
- Engineering & Maintenance
- Pool & Garden (if applicable)
- Shared facilities and common areas
Ensure smooth coordination between operational departments.
Monitor operational performance and resolve issues proactively.
Ensure all operational activities follow company SOPs and service standards.
Maintain property readiness and cleanliness at all times.
2. Property Performance Management
Monitor overall building and unit performance, including:
- Occupancy
- Guest reviews
- Complaint trends
- Operational issues
- Owner feedback
Work closely with Operations and Revenue teams to improve:
- Guest satisfaction
- Online review scores
- Operational efficiency
Identify recurring operational problems and implement corrective actions.
Ensure the property remains competitive and operationally optimized.
3. Cost Control & Budget Management
Monitor and control operational expenses within approved property budgets.
Review and manage:
- Utilities usage
- Maintenance expenses
- Operational purchases
- Staffing efficiency
- Vendor/service costs
Prevent unnecessary spending and operational waste.
Ensure all expenses follow company approval workflows and budget guidelines.
Support monthly financial and operational reporting.
Identify opportunities for operational savings and efficiency improvements.
4. Guest Relations & Service Quality
Ensure high levels of guest satisfaction and service quality.
Handle escalated guest complaints and operational incidents professionally.
Monitor guest feedback, OTA reviews, and internal quality standards.
Ensure prompt resolution of operational and guest-related issues.
5. Staff Management & Team Coordination
Supervise operational staff within the property.
Coordinate staff scheduling and operational coverage.
Support onboarding and training of new team members.
Promote accountability, discipline, and teamwork across departments.
Monitor staff performance and escalate operational concerns when necessary.
6. Maintenance & Property Condition Oversight
Ensure preventive and corrective maintenance is properly executed.
Conduct regular inspections of:
- Guest units
- Shared facilities
- Equipment and infrastructure
Coordinate with Engineering and Operations teams on repairs and improvement projects.
Ensure maintenance issues are resolved within expected timelines.
7. Compliance, Safety & Risk Management
Ensure compliance with company policies, operational procedures, and safety standards.
Maintain operational documentation and incident reporting.
Monitor safety, cleanliness, and risk prevention across the property.
Support emergency handling and operational escalation when required.
8. Owner & Internal Coordination
Support communication and coordination related to owner stays, inspections, and operational updates.
Coordinate with Account Managers and Head Office teams regarding property performance and operational matters.
Ensure operational alignment between on-site teams and central departments.
9. Reporting & Operational Visibility
Prepare and submit operational reports as required.
Monitor and report:
- Operational issues
- Property performance
- Cost control concerns
- Staffing or maintenance gaps
Maintain visibility and accurate updates within company systems (Lark, Breezeway, etc.).
Qualifications:
Education & Experience
- Minimum Diploma or Bachelor’s Degree in Hospitality, Hotel Management, Operations Management, Business Administration, or related field.
- Minimum 3–5 years of experience in hospitality, property management, building operations, or hotel operations.
- Previous experience managing operational teams and property performance is preferred.
- Experience in budget control and operational cost management is highly preferred.
Technical & Professional Skills
- Strong operational leadership and problem-solving skills.
- Good understanding of hospitality operations and guest service standards.
- Ability to manage operational budgets and cost efficiency.
- Strong coordination and communication skills across departments.
- Familiarity with operational systems such as Lark, Breezeway, PMS, or channel management systems is an advantage.
